One donor letter for them all

Hi. I could use your help in solving this problem. After our banquet, I would like to send each donor one letter, no matter how many ways they gave.

We have very generous donors. It is not unusual for a guest at one of our banquets to be an underwriter, give a one-time gift, and also start giving monthly.

My challenge is that I would like to send those donors just one letter. Currently, my option with eKyros is to send them three different letters: (1) thanking them for their one-time gift, (2) a pledge letter thanking them and reminding them when payments are due, and (3) an underwriter letter thanking them for their underwriter gift and/or reminding them of their underwriter gift that hasn't yet been paid.

Last year I went through our 830+ banquet givers and found donors who gave more than one way. I pulled the letters from their respective piles (underwriter, one-time gift, pledge) and combined them manually to create a new letter specific to each one of them. The task was long and laborious and fraught with the possibility of transcription errors. (Don't you like my use of that word?!)

Am I missing something? Is there something that I can do in eKyros that would prevent this long, drawn-out process?

I appreciate any guidance you can give me.

One option is to run the Batch Receipts report. Then export the list to excel. This report will only display the donor 1 time no matter how many times they have given based on your date range and criteria. Hope that helps!

Batch receipts doesn't really work because there is nothing on that statement that would differentiate between an underwriter payment and a one-time gift the night of the banquet. It also doesn't show pledges.

I suggest you give us a call. Not sure i completely understand what you want. You say you want a single donor but multiple transactions? I believe that's the point to the batch receipt sans pledges.

Also, are you using receipt comments? they display on the statement. there you can document purpose of the gift. going forward you might want to add a comment as you receive the gifts.
