Missing client number & file

I was going through old paper client files to pull the ones that we could close and I found one that is not in ekyros at all. The client has a number and did a full intake with a pregnancy test, but I cannot find the client by name or number in the system anywhere. Should I reenter all the forms with the original dates and a new client number before closing? I have no idea how they could have a number listed on the physical file but there be no trace of her online!

I would try searching by client number (eKYROS FileID) only.

Be sure to click "Clear Filter" in the yellow band that appears below the search criteria first. This will ensure you don't have other filters set. Then search by FileID.

If the client file isn't found you might try running the EMR Audit Control Report (by Entity). It is located under Administration/Reports. Enter the eKYROS FileID and make sure the date range spans multiple years. This report should tell you when/who deleted the file.

Thank you! I will have to get my Executive Director to run that report since I don't have access to the Administration tab. If the file was deleted, is it possible to get it back or should I input all the data again with the original dates?

We could restore the file from a backup if deleted within last 90 days. But there would be a fee. Feel free to contact us for details. Otherwise, reentering the file would work. It would just get a new FileID.
