Trying to Minimize List of Events/Campaigns While Maintaining Ability to Track Event Outcomes
Posted: 26 Dec 2009 09:33 PM
In regards to the donor section of eKyro's, I'm wondering if there's an option anywhere to make events inactive after they have passed.

Thus far, we usually track the income of events, designations, direct mail letters sent, newsletters sent, etc. by creating an "event" in the top box under "Event / Event Group Captain". The problem with this is that our list of events is growing over time and there's no way that I've found to make an old event inactive so as to shorten the list of events I have to choose from as I enter new donations.

Right now, I only use "Campaign Designations" to track whether a donation was made by an individual, church or business. This gives us another measure to track donations from each of those three groups. Even under the "Campaign Designations" I see no way to make certain campaigns inactive, so, I don't think that option let's me do what I want to either.

If eKyro's would add a feature to the report settings where I could search through donations by whatever I enter in the "Receipt Comments" field, I could just use general "Event / Event Group Captain" titles. For example, I could add "Newsletter" instead of "January 2009 Newsletter". Then all I would need to do is type something like "Jan 09 NL" in the Receipt Comments field and I could quickly pull up all donations given in response to that January 2009 newsletter.

Any advice or ideas would be appreciated. If eKyro's doesn't support the capacity to do anything I'm requesting currently, I would like to recommend that you all consider adding these features. I'm constantly amazed by all of the various and assorted seemingly complicated ways I have to search for different income reports, etc. for our board, national affiliate renewals, etc. :)

Thank you,
C. Macedo

CMacedo,

I will pass your suggestions of creating the ability to enable/disable events and/or designations titles. It sounds like you are utilizing the events/designations correctly. If you are not wanting to track the event by date “January 09 Newsletter” and instead create a general title “Newsletter” you always have the ability to pull the “Donations Report” by date range, enabling you to specify only for 2008 or only for 2009. I will talk to our development team about having the ability to search receipt comments, however I don’t know how realistic this is or how much this would assist you. For example what if receipt comments are not added? The event portion will always be caught and taken care of, so it seems a bit redundant to enable search for events through the comment portion, however again, I will pass it along. I hope your Christmas holiday was both a time of blessings and joy. Have a GREAT day!

Blessings,
Ashleigh

Hi C. Macedo,

Great News! In the upcoming release you will be able to mark Events as well as Fund Designations as Open/Closed, this will allow you to manage the list that displays on the Donation/Pledge form for easier viewing. I hope this helps and thank you for taking the time to share your valued feedback with us!

Blessings,
AshleighCool
