1.Merging an old file

How can I merge/combine two files for the same staff member (one was misspelled)? As of right now when I try, it tells me that one is a directory entry (or something to that effect) and the other says it is being referenced by pregnancy test forms. Thanks! Shannon

My name is Shannon Gonzales and I replaced Sarah Miller in March here at Care Net of Central Texas. I believe she'd inquired about the info. below. Is there any word on that?

We need the capacity to track mens/birthfather appointments; pregnancy support ongoing; and aftercare ongoing visits. Just like they have separate ways to track ultrasound and now std testing.

Also, we are opening a satellite location and were wondering about being able to do separate ...
3.Taking time out

Good afternoon,

I was curious about being able to take the times that you are unavailable off of the schedule. Is there a way to do that? As it is right now, you have to 'put in' the time you want to be available. There are many times that it would be much easier to just take out an hour here and there as needed. Any suggestions?

Yes. For example: I had an employee that already had appointments scheduled for a particular day, but wanted to be taken off of the schedule say from 2-3 p.m. and it was just spur of the moment. Is there a way to do that? Right now, if I know about them being out ahead of time, I can put in the hours they will be here and just leave out the hours they won't. But when it's a last minute scenario and they already have appointments for other times during the day, is there a way to take out ...

We are loving the new enhancements so far! I do have one request though. We LOVE how you added the name of the staff/volunteer to the view of the appointment book page, however we are REALLY missing being able to easily view the category of what the client is coming in for (as it was before). Is there any way to add that back in? Honestly, we need to view this much more than the column that says the type of appt (scheduled/walk-in).

Your thoughts???

Honestly, I don't think we'd miss the "type" column at all--as long as we could view the category and staff/volunteer.

7.problem on resource page

When you are scheduling an appointment from the resource page, the date does not actually change when you change the date at the top of the resource page. In other words, there is no way to change the date you are looking at from the resource page. This only started happening today. I hope this makes sense!

When looking at the "clients served" section of statistics, specifically at demographic information (race, marital status, etc), it is showing a large number of unknowns. It appears that these unknowns are coming from clients who were scheduled for appointments but never actually came. Is there a way to look at these stats without including these "no show" clients, since we aren't interested at all in their information (since there is none)??

I have another question in relation to this thread. As I was looking at these same stats and going through them to try and correct some of the "unknowns" I have found that a large percent of them already did have the demographic info entered, yet they are still coming up as unknown. Specifically I was looking at Client's Served by marital status. Any idea why this might be?

I had no clue about that refresh button, and unfortunately, no one else in our office knew about it, so our stats are going to be tough to correct. We really thought that if the info was updated on the general tab, then there would be no problem.

Is there any easier way that we can avoid having all of these unknowns? With the volume of clients we see each month, it seems almost impossible for us to be able to refresh every single one.

I'm sorry it's taken so long for me to get back to you. Yes, we do enter demographic info initially when we do data entry, but occassionally they will be left blank accidentally or temporarily as we try to determine what info was missing.

After looking at this & processing it for a while I noticed something. Because we see so many clients, sometimes it takes us as many as 2+ weeks to get data entered. When a 1st time client returns for a follow-up appointment ...

Wow...that sounds like a wonderful plan. So, for now should I worry about going in and refreshing all of the unknowns? It sounds like this will fix itself once the new version is in place. Any idea about your timeframe on that?

Also, we have just finished our annual Care Net report that we are required to complete. There were many stats needed that we do not currently have the capability to report. Would it be ok if I mailed you a copy of this report so you might know all that ...

Where would be the best place in statistics for me to look at the number of total clients we saw for 2004? Also, considering that we do not enter a form for every client visit.

Is there a way to run a report which would include mailing addresses of a specific group of clients? For example, we would like to send Christmas party invitations to all of our pregnancy support clients. Currently, the only way to look at these clients is by using the appointment statistics, and that list doesn't include addresses. Any ideas? Thanks!

Because our services have expanded a great deal, and also due to grant requirements, we are needing added reporting services through ekyros. We have no way (except by hand) to keep track of STD testing services and our Pregnancy Support/Aftercare services. Pregnancy support and aftercare differ from classes because they are one-on-one appointments--tailored specifically to meet the needs of each woman--not in a group format.

19.Concepts Shared Section of Form

Our directors have voiced some concerns to me about using the term "concepts shared" on our forms. They feel as though that specific term implies that we provided counseling on that subject. And for legal reasons, we don't want to imply that we provide counseling--especially on topics like abuse, depression, etc. If our director had to read from our form in court, the term could come across improperly. They were thinking that "topics discussed" sounds more ...
20.problem with statistics

First of all, so far we are loving the changes in the new release!

I am working on our monthly statistics, and when I click on a specific number to "drilldown" and see specific names of clients, it is not showing any names, but only the top line of the chart. Any ideas what is wrong?

When I go into Excel from the statistics page, I keep getting an error message when I try to sort the spreadsheet. It says "This operation requires the merged cells to be identically sized." How can I fix this?

To elaborate on Amanda's last question, we are having MAJOR problems with the current set-up because our appointment schedule changes from day to day. With the current set-up, if we alter the set-up for a specific day of the week, it will change the appointment availablility for all future days. With volunteer/staff availability, special events, meetings, and with several different people having access to the scheduling, it becomes impossible to schedule open appontments in the future with ...
