A Few Things...

We love eKyros! Thank you for all you do! Here are a few things that would be helpful for our center:

1. Prompts to ask if you are sure you want a new case AND a prompt to suggest creating a new visit.

This is my absolute biggest request for modification. We have a regular issue with staff processing mobile forms and not realizing that there was already a case created and adding an additional case. This creates a headache to try to consolidate the cases as it's usually not noticed until later. It would be great if there could be a pop up prompt that says "There is one open case for this client. Are you sure you want to create a new additional case?"

Along the same lines, we have an issue, specifically with ultrasounds, with people forgetting to enter a new visit for the current date before entering the sonogram form. Then the doctor signs it and once the mistake is realized, it's a headache to fix. It would be helpful for sonogram forms (or really any of the forms) when you click on them to have a pop up prompt that says "No visit exists for today. Would you like to create one first?"

I know there are work arounds for these issues, but it's a matter of being more user friendly. These modifications would really help jog our memory & improve our charting.

2. The option to create an "Attention Flag" that would pop up at the top of a client's file & be obvious.

This would be helpful for communicating important information about clients. Staff could type something such as "Client requests: Do not disclose information to FOB" or "Client no longer eligible for services" or things of that nature.

3. A check box for signing consent forms instead of typing out the full name.

We have frequent issues with the mobile intake and verification failing or clients having trouble signing the forms. Our staff spends considerable time texting clients to try to help them complete the forms. We are not sure exactly what the reason is, often it's a challenge with Spanish speaking clients who have 2 last names. I'm not sure of a better way to do verification for mobile forms, but changing the signature would help some of these issues.

4. Group classes - When attendance is taken, also add a visit to the client file for the date of the class.

The check box system is awesome for entering in attendance for the class and it's nice that it automatically puts it in the client file. But unfortunately we have to go through each client file to also enter a visit. It would be nice if a visit was automatically put in.

5. An easy block option for resource scheduling.

It would be nice to be able to click on a resource from the resource view and block availability for that resource without scheduling an appointment.

Thank you for considering!

Hi hannaruth,

Happy New Year to you and your amazing team! Thank you for reaching out to us with feedback, we greatly appreciate it. I've done my best to respond to your 5 suggestions below, but would love a follow up call to discuss/help further.

1.(a.) Suggestion: Prompts to ask if you are sure you want a new case AND a prompt to suggest creating a new visit. (when processing mobile intake forms).
Response: This should help... when processing "Returned" forms, if one of the forms listed is a Case Intake then just hit "Start Intake". If there is NO case intake getting processed, then click the Please select a Case and you will see the existing Case along with the Case date. We also have a reminder message under the Start intake button. Just remembering that tip should hopefully help a ton, because otherwise if each time you click "Start Intake" button you get a pop-up message asking if you are sure that had to be closed or responded to could possibly get cumbersome.

1.(b.) Suggestion: Re: adding sonogram form -"No visit exists for today. Would you like to create one first?"
Response: I get it, when clicking "add new" to enter a Sono Form (or any activity form) the visit date by design will default to the date of the most recent visit. The Nurse needs to click the ellipsis to the right of that field if it is not the current date because a visit form hasn't been entered yet. I will brainstorm with my developers. Perhaps there is something we can do to bring better attention to the fact the date is in the past.

2. Suggestion: the option to create an "Attention Flag" that would pop up at the top of a client's file & be obvious.
Response: We do have a "hold appointment flag" that pulls through to reception for when they are no longer eligible for services. However, I think a highlighted and more prominent "Attention flag" is a great idea. I will present this for consideration to our development team, advocate for it, and follow up with you.

3. Suggestion: A check box for signing consent forms instead of typing out the full name.
Response: There had previously been some issues with double last names that were hyphenated. I will share your feedback with our development team, but typing out the name as well as checking the consent boxes was to provide additional validation.

4. Suggestion: Group classes - When attendance is taken, also add a visit to the client file for the date of the class.
Response: Great news! We do automatically add a case visit for the day for each client checked in from a group class roster. We make the primary purpose of visit set to "group class attendance". The visit isn't seen in the file, just the visit date with group class listed beneath it. If you manually add one, the one you add will override the existing one (but will not cause a duplicate). Happy to talk through this with you.

5. Suggestion: An easy block option for resource scheduling.
Response: The weekly override allows you to block a recurring resource timeslot when it isn't available for a certain period of time. Happy to show you how this works, or talk through it.

Thanks again, for taking the time to share your feedback. I'm not able to determine what center you are with, but my direct contact information is below if you would like to contact me directly. I want to be able to share development feedback to some of your suggestions, and also answer any follow up questions.

I'm glad to see the attention flag has been created! This is great!

I think it would be helpful if it was a different color from the banner that alerts you that forms are filled out. That would help us distinguish it at a glance and be more attention grabbing.

Thank you for all the hard work you guys do!

Hi hanaruth, thanks for the feedback. At this time we have no plans changing the color of the attention flag.

i am curious as to why you think it needs to be changed? It resides at the top of the file and is 'yellow'. Is that not good enough?

Thank you for replying! I am suggesting the change of color to differentiate an attention flag from the Mobile Intake Form banner which is also yellow. Thanks for considering!
